Warehouse Receptionist - Maersk, Dubai

Key responsibilities
  • To ensure smooth running of our company warehouse
  • Manage & supervise our office admin for Warehouse
  • Undertake all office administration tasks, ensuring the rest of the staff has adequate support to work efficiently
  • Manage the filing system of your section of Administration
  • Ensure that company equipment and assets are functional.
  • Ensure that the office premises, storerooms, car park, etc are always kept neat, tidy, organised and safe work environment, report and rectify any unsafe situations.
  • Assist with the organisation of social activities.
  • Assist in ensuring peaceful relations with all other parties.
  • Ensure emails are read daily and replied timely.
  • Be aware of corporate guidelines, rules and regulations pertaining to current position. Confidentiality in all aspects shall be subject to strict observation.
  • Facilitate Office events; Completes special projects by organising and coordinating information and requirements; planning, arranging and meeting schedules, monitoring results.
  • Provide supplies by identifying needs for reception, switchboard, mailroom, kitchen establishing policies, procedures and work schedule.
  • Manage invoicing and expense control relating to the premises and serviced office environment.
  • Ensure invoices are paid on time.
  • Provide statistical and budget reports.
  • Liaison with the other department’s needs.
  • Liaison with the HSSE to prevent any issues related.
  • Ensure company’s policies and security requirements are met.
  • Handle Petty Cash
  • Collaborate with finance to ensure payments are completed in a timely manner
  • Implementation of Maersk HSSE standards and guidelines in the Warehouse.
  • Carry out worksite inspections and HSE training & emergency response drill
  • Provide HSE induction training to new employees, foreign colleagues & visitors.
  • To ensure that corrective actions resulting from accidents / near misses, audits, inspections & risk assessments are implemented.
  • Collect inputs through consultation & participation from the staff to improve the Health, Safety & Environmental performance.
  • For the roll-out of Global Safety Day activities and communication to employees.
  • To keep HSE notice boards updated.
  • Oversee local Permit to Work program for employees and vendors/subcontractors.
  • Support Risk Assessments/Environmental Aspects & Impacts and monitor progress of measures to mitigate risks and control Environmental exposure to a tolerable level. Report it to the Business Unit Manager.
  • Support Accident and near miss investigations
  • Support Collection of HSE Statistics on a regular basis and report to the Area HSSE Manager.
  • Assist the warehouse site manager in selecting First Aiders, Fire Wardens; and ensure certifications are current & first aid kits replenished.
  • Liaise with warehouse site manager to ensure PPE & Equipment register is maintained and up to date.
  • Act as a backup for Customer Service team
We are looking for
  • Bachelor’s Degree in Business Administration or equivalent
  • Prior experience (minimum 3 years post qualification experience) within similar role in a local or multinational company
  • Able to work with MS Office, some accounting understanding will be a plus
  • Should be forward thinking, planning and execution
