Passport Officer & Consular Support, Dubai

The role:

Austrade is seeking a Passport Officer & Consular Support.

The Passport Officer & Consular Support will be required to work independently as part of a small client focused team, providing consular, notarial and passport services to Australians in the UAE (Dubai & the Northern Emirates) under the guidance of the Senior Consular and Passport Officer.

As a consular officer you will encounter difficult and stressful situations from time to time and will be required to perform duties out of hours on an on-call rotational basis.

This position requires a highly motivated team member with experience in a customer service environment and the ability to exercise sound judgment while working under pressure.

Duties include:
  • Process applications for Australian passports, including conducting interviews and processing emergency passports. Provide informative responses to Australian passport enquiries.
  • Provide consular assistance to Australian citizens who have been imprisoned, hospitalised, are financially destitute or who have lost a loved one. Timely reporting of consular activities with a high attention to detail.
  • Perform notarial acts for Australian citizens or for use in Australia.
  • Assisting with accurate reporting, filing, archiving and statistics on passport and consular activities, including a yearly review.
  • Supporting senior management in servicing official visitors, maintaining good working relations with the VIP airport section, local authorities, the UAE Foreign Ministry and DFAT at the Australian Embassy in Abu Dhabi.
  • Maintaining after-hours consular and contact information for important third parties.
  • Assisting Australian Citizens vote in Australian Federal Elections through the Consulate-General.
  • Adopting a ‘whole of government’ approach to delivery of consular, passport and notarial services by ensuring that there is a strong working relationship with the supervising mission in Abu Dhabi and the Austrade team in Canberra.
  • Engaging with the Regional Consular Officer, the Australian Embassy in Abu Dhabi and the Austrade team in Canberra to assist to provide training on new policies and procedures so that best practice service is delivered to clients.
  • Ensure consistent compliance with Austrade policies and procedures, Delegations, the APS Act, and local labour laws within the region
  • Work collaboratively within the Austrade network to contribute to service delivery and achieve desired outcomes, while upholding Austrade’s values, Code of Conduct and Work Health & Safety (WHS) Principles

Eligibility:
  • To be eligible for consideration and appointment you must have:
  • Work Authorisation - to be eligible for employment with Austrade in the United Arab Emirates, candidates must be legally authorised to live and work in the United Arab Emirates at the time of appointment.
  • Language - the successful candidate must be fluent in written and spoken English. Arabic language skills are highly desirable for the role.
  • Security Clearance - the successful applicant must be willing to complete an Entry Level Screening Pack and be confirmed as a suitable person to access Government resources prior to commencement in the role.

This is a locally-engaged position governed by Austrade’s Overseas Engaged Employees terms and conditions of employment and United Arab Emirates labour law. Candidates must currently have the right to live and legally work in United Arab Emirates. Austrade will not be able to provide any sponsorship letter nor be involved in the work visa application process.
