Personal Assistant, VP Animation - Disney Media - London

Job Summary:

Provide comprehensive administrative assistance and support to the VP Animation, and additional support for the animation creative and production management teams, including the Creative Director and Director, Production Management. Coordinate department-wide functions for the wider original productions team as necessary.

The Opportunity & Responsibilities
  • Daily, personal diary management and admin support for the VP and directors
  • Coordinating meetings with external business partners and Disney executives with optimum efficiency, sensitivity, and reliability
  • Coordinating/arranging local and international travel plans for the VP, directors and the animation team as needed
  • Advanced planning for major industry events (eg Annecy, MIPCOM)
  • Processing all expenses for the exec team using internal finance systems (eg SAP, Concur) accurately and in a timely manner
  • Forecasting and tracking travel and entertainment expenses for each fiscal year
  • Organising internal and external meetings and presentations, fully facilitating these meetings where necessary (eg with hospitality, AV equipment)
  • Coordinating busy and constantly updates diary to ensure time is managed efficiently and effectively
  • Handling highly confidential information with discretion
  • Managing all incoming mail, deliveries, parcels etc
  • Organising business meals and original programming team activities
  • Preparation of presentations (Keynote/PowerPoint/Word)
  • Assisting with specific creative and production management projects as required
  • Managing Hammersmith office requirements for the team, including meeting room bookings, IT hardware maintenance and upgrades, temp staff access etc
  • Understanding of the business and team’s objectives to be able to get involved, take initiative and anticipate challenges
The Experience We Require From You
  • Significant demonstrable experience as a PA at Senior Executive level
  • Managing high volume, complex travel itineraries
  • Working within a complex, high workload, fast paced environment
  • Handling high volumes of highly confidential information
  • Working within an international, multi-territory organisation
  • Advanced proficiency with Microsoft Office, Zoom and other workplace productivity and communication software
  • Working in an animation, production, studio or entertainment industry environment is preferred
